Purpose & Scope:
The Senior Project Coordinator/Scheduler, Facilities is responsible for performing site coordination, key support, and administrative duties supporting North Carolina site projects and programs.
Essential Job Responsibilities:
Works within the Facilities & Engineering function to support key projects, project documentation, and coordination of activities including meeting minutes and action items.
Leverages project management tools for providing visibility to team assignments, commitments, and issue escalations.
Serves as the primary contact for external visitors and f
unctions as the main liaison and backup to external front lobby security support.
Supports and performs key coordination activities supporting site level EH&S programs and m
onitors, maintains, and replenishes the office inventory, while serving as the main contact for requested supplies and needs.
Receives, audits, and prepares invoices and initiates purchase orders (when required) for F&E departmental expenses.
Coordinates site wide food services and overall canteen ordering and inventory controls
Participates, as needed in preparing bidding and procurement activities by coordinating with procurement, preparing requests for proposals, and contracting documentation activities and workflows and assists in the preparation of budgets, monitor resource assignments, track expenditures, and prepare reports
Maintains tracking logs of submittals, RFIs, project documentation, and related status updates, as required and

reates and modifies documents using Microsoft Office and other key office tools.
Provides
procedures, training, and guidance to the user community of systems, including team members, vendors, and service providers, ensuring feedback channels are open and collaborative, and systems tools and tips are available
Works non-traditional work hours to support critical business operations and support other functions, when necessary and s
upports department with special projects as assigned. The incumbent, on a regular basis, performs work that may be confidential in nature requiring close attention to detail and work execution.
Quantitative Dimensions
The
Senior Project Coordinator/Scheduler, Facilities will perform site coordination, provide key and administrative support, be a main liaison for internal customers, external vendors and visitors and assist in any issues that occur. The role will assist in projects and provide visibility to team assignments, commitments, and escalation of issues.
Organizational Context
The Senior Project Coordinator/Scheduler, Facilities will typically report to the Associate Director, Facilities and Engineering. Requirements
Required
7 years project coordination and administrative support experience, with a high customer service focus and professional demeanor in all situations
Must demonstrate excellent interpersonal skills along with the ability to work well with all levels of internal staff and outside parties, including vendors, contractors, and partners.
Highly organized with a strong attention to detail, proficiency to manage multiple tasks/functions, and the ability to work independently
Prior experience with highly confidential matters and mandatory ability to maintain confidentiality related to all situations
Possess strong computer and Internet skills, including online document management experience (Box, DropBox, etc.), and a
dvanced experience with Microsoft Office and project software.
Work history of creating solutions and results-oriented focus along with prior experience demonstrating self-directed and enthusiasm to thrive in a dynamic start-up environment
Will support and demonstrate quality standards to ensure data of highest quality and w
orks closely with team and other functional key stakeholders on the Astellas AGT Technical Operations team to execute work and will be expected to perform other duties and/or special projects as assigned
Preferred
Coordination and collaboration with external contractors and vendors
Pharmaceutical, Biotech or Life Sciences experience
Working Conditions
Occasionally required to stand up to 6 hours a day. While performing the duties of this job, the employee is frequently required to reach with hands and arms, stand; walk; occasionally required to sit; balance; stoop, kneel, and lift up to 30lbs.
This is an on-site role working in a cGMP regulated manufacturing facility
On occasion, this role may travel to other Astellas Gene Therapies manufacturing facilities (0-5%)
